The International Ice Hockey Federation (IIHF) is the governing body of international ice hockey. The IIHF features 82 member associations, each of which is the national governing body of the sport in its nation. Besides controlling the international rulebook, processing international player transfers, and dictating officiating guidelines, the IIHF runs numerous development programs designed to bring hockey to a broader population. IIHF Administration Coordinator (m/w/d)

 
Responsibilities

This position is responsible for assisting the IIHF Administration & Finance Department. This includes different administrational & financial tasks like the reception administrations, accounting in general, controlling, support on preparing of financial reports. This position reports to the IIHF Director of Administration and Finance.

Primary Duties
 
  • Responsible for main telephone, email inboxes and reception services
  • Assisting in shipments to different IIHF Events & post office control
  • Assisting in managing the IIHF Office and property, e.g. repairs, garden, furniture, stationary, meeting supplies as well as the meeting rooms, bathroom, kitchen and fitness facilities together with house keeping
  • Assisting in managing of all operations and services related to the IIHF Office and property e.g. cleaning services, waste disposal, security, gardening, archive, care-taking, moving etc.
  • Responsibility for administrational accounts (incl. cost control)
  • Assisting in the year-end process an in preparing of reports 
  • Collect, check, record and book incoming invoices and expense reports
  • Follow up and improvement of the Internal Control System (ICS)
  • Follow up an adjustment of the Financial Manual
  • Perform other duties as requested by the IIHF Director of Administration and Finance

IIHF Data Manager (m/w/d)

 
Reporting to the IIHF Technology Director, the Data Manager will oversee the development and use of data systems. The Data Manager will develop efficient ways to organize, store and analyze data with attention to security and confidentiality.

The ideal candidate will have a strong understanding of databases and data analysis procedures. They will also be tech-savvy and possess excellent troubleshooting skills. They are responsible for analyzing and deriving insights from data, for improving and streamlining data systems, and driving innovation. The successful candidate should have a proven track record in data management, leadership and information technology systems and tools. A strong background in IT, business and mathematics is advantageous.

The goal is to ensure that information is properly collected, professionally analyzed, and flows timely and securely to both internal and external stakeholders.

Duties and Responsibilities
 
  • Create and enforce policies for effective data management
  • Formulate techniques for quality data collection to ensure adequacy, accuracy and legitimacy of data
  • Devise and implement efficient and secure procedures for data handling and analysis
  • Establish rules and procedures for data sharing with upper management, external stakeholders etc.
  • Support others in the daily use of data systems and ensure adherence to company standards
  • Assist with reports and data extraction when needed
  • Monitor and analyze information and data systems to discover ways of enhancing them (new technologies, upgrades etc.)
  • Ensure digital databases and archives are protected from security breaches and data losses

Skills
 
  • Data Management - Thorough understanding of the principles of data management and administration
  • IT Skills – Data Manager should be familiar with modern databases and IT systems and how they work
  • Analytical Skills - Due to the importance of data analysis in their everyday duties, the Data Manager needs to be proficient at digesting and analyzing large amounts of data
  • Problem Solving Skills - The Data Manager must be able to tackle problems under pressure
  • Communication Skills – excellent verbal and written communication skills are a must

Information Technology (IT) Coordinator (m/w/d)

 
The Technology Coordinator (100%) is part of the Technology Team and overlooks a variety of tasks as well as classic support work. The role is designed to manage and help our employees and member associations competently and in a friendly manner at the first and second Support Levels so that they can work quickly and smoothly with the IT tools. In addition, the Technology Coordinator collaborates in IT projects and provides solution-oriented suggestions. Supporting and assisting the IIHF Technology Director is one of the daily tasks, which also includes implementing improvements in all areas of technology responsibility.

This position requires good language knowledge, consolidated knowledge and experience in IT, ideally a commercial IT education with office experience and furthermore experience and broad knowledge in the Microsoft Office applications.

The Technology Coordinator reports directly to the Technology Director and executes the tasks defined below:

Duties
 
  • 1st and 2nd level support including network and communication issues using a ticketing system.
  • Receiving and processing hardware and keeping an inventory of all IT assets
  • Investigate and resolve issues related to Modern Workplace, Microsoft Windows, Office 365, printers, and various applications across the business units
  • Deliver training to staff on using hardware, software, and cloud-based services
  • Assist in the installation, maintenance, and upgrading of workstation systems, peripherals, mobile devices, servers, network components and communications equipment as well as their software and interfaces
  • Collaboration on a wide range of projects
  • Person of Communication and Contact for employees of the IIHF and member associations
  • Perform various, miscellaneous duties at the discretion of the Technology Director

Qualifications and Experiences
 
  • Analytical and problem solving skills
  • Solid background in IT support or in a matching field
  • Strong technical skills in Microsoft Office
  • Organisation and time management
  • Good interpersonal skills and the ability to work with technical and non-technical personnel
  • Fluency in English and German (written and spoken)
  • Ability to prioritize under pressure over longer periods 
  • High sense of responsibility, willingness to travel and work irregular hours and interest to work in a dynamic fast changing international environment
